The Executive Assistant performs a wide variety of secretarial, administrative and clerical duties directly for the Horticulture Director and Landscape Operations Director and other managers associated with Garden Services to include but not limited to Greenhouse Production Manager, Sibley Center Manager, Day Butterfly Center (DBC) Manager, Vegetable Garden Manager, Gardens Operations Manager, Conservation/Arborist Manager, Trails Manager, Curator, Landscape Operations Manager and Mountain Creek Inn (grounds) /Overlook Garden Manager. College degree preferred but at least 5 years of experience as either executive secretary or executive assistant necessary. Computer skills specifically proficient in WORD and EXCEL with working knowledge of ACCESS. Experience in horticulture or botanical gardens helpful. Must have a valid driver's license. Long hours infrequently required. Physically non challenging work - Exerting up to 50 pounds of force occasionally and /or 10 pounds of force frequently or constantly to lift, carry, push, pull or otherwise move objects. Ability to stand or sit for long hours at a time. 

Approach all encounters with guests and team members in a friendly, service-oriented manner. Maintain regular attendance in compliance with Callaway standards, as required by scheduling, which will very according to the needs of the hotel. Maintain high standards of personal appearance and grooming which includes a nametag when working. Comply at all times with Callaway standards and regulations to encourage safe and efficient hotel operations. Maintain a friendly and warm demeanor at all times.

Receive and distribute mail and deliveries from Warehouse. Communicate to appropriate staff order arrival. Operate a variety of office equipment to include computers, printers, copiers, calculator and fax machine. Performs work of a confidential and sometimes complex nature, necessitating exposure to sensitive information and contacts requiring considerable discretion, judgment, tact and diplomacy. Have knowledge and understanding of all department policies and procedures, and communicate and enforce all policies fairly and consistently with staff. Attend all meetings/training as required by supervisor or manager. Perform other duties as assigned by supervisor or management.
